A plugin that connects a journal's editorial workflow to LatArXiv: the editor sends the manuscript to the preprint server without leaving OJS, and both versions are linked once the article is published.
The problem
Posting a preprint usually means entering the same manuscript twice: once in the journal and once in the preprint server, with its metadata, authors and affiliations retyped by hand. That is duplicated work, and it is a source of divergence — the abstract fixed on one side but not the other, the author added late.
The plugin adds a PrePrints tab inside the workflow of every submission in OJS. From there the editor picks which files to send, confirms, and the manuscript travels to LatArXiv with all its metadata already in place. Nothing gets copied by hand.
On the other end the preprint is not posted automatically: it enters LatArXiv's moderation queue like any other. The plugin connects the two systems; it does not bypass editorial control.
The cycle
A preprint has its own life on LatArXiv, and the article has its own life in the journal. The plugin keeps the thread between them.
01
Submission
The editor opens the submission in OJS, picks which of the manuscript's files belong in the preprint, and confirms. The text, the full metadata and the author list travel together.
02
Moderation Under review
The LatArXiv team screens the submission. Meanwhile the preprint's page notes that the manuscript is under review at the journal that sent it.
03
Preprint posted
The preprint gets its own DOI and becomes accessible and citable. The panel in OJS shows the DOI and the link, so the editor never has to go looking.
04
Article published in the journal Published
When the article is published, the plugin records the final version's DOI on
the preprint. LatArXiv deposits the is-preprint-of relation in
Crossref: whoever lands on the preprint finds the article, and citations to
both accrue to the same work.
—
If the journal does not publish it No status
The preprint stays posted, its DOI untouched. The only change is that its page stops saying it is under review.
Metadatos
Metadata
The plugin sends the complete publication, not a summary. And it sends every language the journal has on file, not just the primary one: if an article has a title and abstract in Spanish, English and Portuguese, all three arrive.
Authors travel one by one with their name, email, country, biography, competing interests statement and their institutional affiliations, including the ROR identifier where available.
If an article has no licence or copyright holder set explicitly, the plugin takes the journal's instead of letting LatArXiv apply its own defaults. The preprint reflects the actual terms the journal publishes under.
OJS identifies languages with regional codes — es_AR,
pt_BR — while LatArXiv uses short ones. The plugin converts them
before sending. Without that conversion the server discards the text silently
and the preprint arrives with no title and no abstract, so it is worth knowing
the problem exists and is handled.
This is a deliberate restriction in the preprint software: an ORCID iD can only be attached to an author if that author verifies it, never by a third party entering it. Authors arrive complete but without ORCID, and anyone who wants to link theirs does so from their own account.
Criterio
Policy
When a journal decides not to publish an article whose preprint is already on LatArXiv, the preprint stays. It has a DOI, it may already be cited, and withdrawing it would break the scholarly record.
What we do not do is announce the rejection. The preprint's page simply stops asserting that the manuscript is under review — no other status takes its place. This is the practice at every preprint server — Research Square, bioRxiv, SSRN — and it rests on two reasons. The editorial decision is confidential between the journal and the person who signed the work. And a preprint is a permanent record: it should not be stamped forever with an outcome that may change at the next journal it is sent to.
It does leave the journal's own preprint listing, because that page is the journal's showcase and the work is no longer part of its catalogue. Each journal can decide otherwise from its settings.
Requisitos
Requirements
Installation and section setup are handled by Paideia. The journal fills in two fields and starts using it.
